Email Archiving Ignored Too Often

Important info at risk

It's an all-too-common sequence of actions: click, click, scream.  Data is just terribly easy to lose and delete, so to protect yourself from at least one potential source of trouble, think about archiving your business emails.

Maybe you're excellent about transferring information from emails to calendars and address books.  If so, this advice applies less to you than the rest of the world, but two sets of backups are better than one.  And as a SmallBizTechnology article points out, participants in some industries are required by law to archive things.

On to the possibilities, then.  One way to back emails up is to hit "print" every few seconds.  If you can pay for and live with the waste of ink and paper, this will work.  Or you can forward everything to free Gmail, Yahoo, and Hotmail accounts.

There are all sorts of more professional solutions, too.  GFI Software, which sponsored a study showing that 51 percent of organizations don't archive their emails, offers some products.  Feel free to suggest others in the comments section.

The main point is not to risk losing all sorts of valuable information due to a single goof.  Recovering from that can cost time, money, and your reputation.

Email Archiving Software

Make your life as easy as possible. Don’t spend time transferring your emails around, get an email archiving software program. It sorts and stores the emails for you. This way, you can scan the email bodies and attachments using a text search program. You also don’t have to panic when you lose or delete an email. One click and you get everything back.

Email archiving is the way

Email archiving is the way to go without a doubt!

In our company after implementing an email archiving solution called archive manager we were able to notice a significant reduction in space for storing email messages.

Archive manager captures all messages running through exchange server to a central compressed repository allowing powerful search and easy retrieving of any necessary emails or attachments.

I save all my emails and have for the last 6 years.  Everyhting is organized in case something bad happens.

We've all done it. We need a piece of information quickly, or we want to get immediate attention from IT support. So we send off an e-mail to multiple recipients—the more lures in the water, the faster we catch a fish, right? Well, not exactly, says Greg Barron.
